Why it matters:
Scope creep, miscommunication, and inefficiency usually happen during delivery—not sales.
What it should include:
- A central place to track project status (Google Sheets, ClickUp, Trello, Asana, etc.)
- Clear timelines + milestone reminders
- Pre-written check-in messages
- Feedback request templates
- Review/approval process
Pro Tip: Create templates for all recurring communication (updates, revisions, final delivery) so you’re not rewriting the same emails every week.
✅ System 3: The Lead Tracking & Follow-Up System
Why it matters:
You’re losing potential clients—not because they didn’t want to work with you, but because you didn’t follow up.
What it should include:
- A simple lead tracker (Google Sheet, Airtable, CRM)
- Tags or stages (New Lead → Discovery Call → Proposal Sent → Closed)
- Reminder system to follow up 3–5 days after every proposal
- Monthly review: What’s converting? What’s falling through?
